IFA Administrator Jobs: Why Your Experience Is Worth More Than You Think

If you have spent several years working as an administrator in a financial planning or IFA firm, you will probably have noticed something. The work has become more demanding, more technical, and more specific than most people outside the industry realise. You will also have noticed that not every firm is set up in a way that makes the most of what you can do.

If you have spent several years working as an administrator in a financial planning or IFA firm, you will probably have noticed something. The work has become more demanding, more technical, and more specific than most people outside the industry realise. You will also have noticed that not every firm is set up in a way that makes the most of what you can do.

That gap between what experienced administrators are capable of and what some firms ask of them is one of the more consistent themes we hear about in the market.

The good news is that the firms actively hiring right now are not looking for someone to train. They are looking for people who already know what they are doing.

The shape of demand has changed over the past few years. Financial planning firms have grown more sophisticated in how they think about their support functions, and that has changed what they hire for. A decade ago, many firms wanted flexible generalists who could turn their hand to most tasks. Today, the firms investing seriously in their administration teams are far more likely to hire for specific experience.

Platform knowledge is one of the clearest examples. Firms that have built their proposition around a particular platform, whether Transact, Quilter, Nucleus, Elevate, or others, want administrators who already understand how that platform works in practice. The onboarding process, the quirks of the system, the most efficient way to process different transaction types. That knowledge takes time to develop and firms are willing to pay for it rather than build it from scratch.

Functional specialisation matters in the same way. Experienced new business administrators, client services professionals, and transfer specialists are all hired for the specific knowledge they carry rather than as interchangeable support staff. A transfers specialist who understands the practical complexity of pension transfers, the documentation requirements, the timelines, and the common points of failure, brings something that a generalist simply does not. The same is true at the client services end, where someone who has built long-term relationships with clients and understands how to manage sensitive conversations is genuinely difficult to replace.

Client type experience is a third dimension. Administrators who have worked primarily with high net worth clients, with corporate clients, or with clients in later life planning understand the specific demands those relationships create. The level of service expected, the complexity of the cases, the way communication needs to be handled. Firms building or expanding in those segments look specifically for that background rather than hoping a generalist will adapt quickly enough.

None of this is to say that breadth of experience is without value. Administrators who have worked across several functions often have a stronger sense of how the business fits together, which makes them more effective in any individual role. But in the current market, firms tend to hire for the specific experience they need most urgently, and the administrators who can demonstrate genuine depth in a particular area tend to attract the strongest interest and the strongest offers.

What many experienced administrators underestimate is how transferable their specific knowledge actually is. Platform experience built at one firm is relevant to any firm using the same platform. Functional expertise in transfers or new business crosses employer boundaries cleanly. Client service skills developed in a high net worth environment are directly relevant to any firm serving a similar client base. The experience you have built is genuinely portable, and in many cases it is more in demand than you might assume.

The question worth asking is not whether your skills are valued in the market. They are. The more useful question is whether your current firm is making good use of them, investing in your development, and offering a working environment that reflects what you bring.

If the answer is uncertain, it is probably worth a conversation.

At Fram Search, we work with financial planning and IFA firms across the UK on administration, paraplanning, compliance, and advice hiring. We regularly speak with experienced administrators who are not actively job hunting but are open to hearing about firms that are better set up, better resourced, or simply a better fit for where they are in their career. If that sounds familiar, we are glad to have a confidential conversation about what the market looks like and where your experience might take you.
